CONTEXT OF THE JOB:
The Assistant Dean's office is the central source of academic information and student service activities for the approximately 2500 students and 100 faculty and staff in the College of Health Sciences. The College includes five academic units: the departments of Behavioral Health and Nutrition, Kinesiology and Applied Physiology, Medical Laboratory Sciences, and Physical Therapy, and the School of Nursing. Reporting to the Dean, the Assistant Dean of Student Services serves as a primary resource for all students and faculty about matters concerning degree requirements, curriculum options and academic policies in all stages of student progression through the college. These include services for prospective students (freshman and transfer), admissions, initial course scheduling, registration controls, current student services, degree audits and certification of degree requirements for graduating seniors. In addition, the Assistant deans functions as a resource to the college for student who experience academic or personal difficulties or who require additional, professional guidance.

Regular contact with all academic units of the University is maintained so that the Assistant Dean can provide accurate information and referral sources related to those units. The Assistant Dean must exercise considerable judgment and employ sound independent decision making skills when interpreting and administering University policies.

MAJOR RESPONSIBILITIES:
Coordinate undergraduate student services and advisement for all academic units in the College. Monitor the progress of all undergraduate students and assist with policies and procedures regarding student progress. Send letters and emails to students on probation, freshmen with grades less than C, dismissed students and dean's list students. Monitor progress of students throughout the semester by phone, email and personal letters. Coordinate all senior checkouts including course substitution maintenance and approval. Certify students for graduation, assuring that all requirements are met. Inform students and advisors of outstanding requirements throughout the year.

Serve as a member of the Global Recruitment and Retention Committee. Help develop university policies and procedures for international students.

Serve as college liaison to the Registrar’s Office. Monitor course scheduling and registration controls to make recommendations for changes, as needed. Work with the Registrar’s Office to resolve scheduling and course offering and maintenance issues. Troubleshoot the new student registration system, UDSIS and inform departments and advisors of new features and revised ways of operating. Arrange for training of departmental faculty and staff, as needed.

Serve as College liaison to the Admissions Office. Monitor admissions for each department in the college and keep all departments informed of admission issues. Coordinate and plan with departments all admission and recruitment activities for the college including Senior Visits, Discovery Days, Blue and Golden Saturdays, Decision Days, New Student Orientation. Attend and participate in all the listed events. Conduct college overview sessions and provide college recruitment materials as needed. Send letters to admitted students. Represent the college on various panels and information sessions. Meet individually with students desiring to transfer into the college from other places within UD and from other schools.

Communicate and meet with students and families to discuss, resolve and provide referrals as needed for academic and personal problems. Review special student requests and/or exceptions. Serve as CURC representative for the college. Coordinate end-of-term CURC petitions, contacting students for personal appointments and helping them plan for their college futures. Serve as ex-Officio member of nursing's Student Affairs Committee. Serve as ex-officio member of the College Curriculum Committee.

Provide advisement to students in the Health Studies major including those in the TJU combined program and meet with potential students for the major. Work with Thomas Jefferson University on the OT/Health Studies option. Supervise required health Studies practicum course.

Coordinate the Undergraduate and Graduate Catalog revisions yearly. Distribute information and deadlines to departments. Review all information for consistency with yearly Course Challenge list and Faculty Senate approvals. Revise and update online catalog. Assist with the production and editing of other college brochures and information sheets.

Serve as final signature on Independent Study Contracts, assuring students are registered in the classes. Meet with students after registration deadlines to discuss their status in classes. Serve as approver for change of major/minor, change of grade, and UD withdrawal requests. Originate and coordinate requests for Academic Renewal.

Assist in the coordination and planning of Convocations, Graduation, Career Day for the college. Keep all departments informed of issues and meetings for these events. Attend meetings to represent the Dean's Office. Attend and plan, as needed, various receptions and activities.

Perform other job-related duties as assigned.

QUALIFICATIONS:
Master’s degree in related discipline and five years job related experience.

Experience and knowledge of academic program planning, development, and administration.

Skill in organizing resources and establishing priorities.

Knowledge of applicable. policies and procedures.

Knowledge of organizational structure, workflow, and operating procedures. Customer service skills.

Ability to make administrative and procedural decisions and judgments.

Program planning and implementation skills.

Ability to develop and implement short and long range goals.

Ability to develop and deliver presentations. Extensive knowledge of UDSIS required.

Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community.
