Salon Receptionist [United States]

The Receptionist role at Zarios Hair Salon encompasses various areas of responsibility, which are outlined below. Additional tasks may arise outside of daily duties. Please note that this list is not exhaustive but serves as a basis for evaluating job performance.

Customer Service:

  • Serve as the initial point of contact for the salon, whether in person, via phone, or through social media channels, demonstrating courtesy, professionalism, and helpfulness to all individuals.
  • Welcome and assist customers, whether they have appointments, seek products, or are walk-in visitors. Assess their needs and direct them accordingly.
  • Ensure a positive last impression by handling client transactions, including service payments, suggesting product recommendations, and booking follow-up appointments.

Customer Interactions:

  • Utilize various communication channels such as phone calls, emails, text messages, social media, and website forms to promptly respond to client inquiries and requests.
  • Timely responsiveness is crucial to meet customer expectations and avoid scheduling gaps that could affect stylists.

Cash Handling:

  • Accurately process client payments for services and product purchases, providing correct change and accurately crediting the transactions. Seek clarification from stylists if service details are unclear.
  • Take responsibility for opening and/or closing the register, ensuring all transactions are properly recorded and the cash drawer is balanced. Address any discrepancies promptly or document them before the end of the day.

Inventory Control:

  • Utilize our Customer Service Management (CSM) tool to manage inventory. Track product reduction when items are purchased, and ensure proper accounting for products used during services. Stylists should place used products in the designated bin, which you will scan out and account for.
  • Manage the receiving process when new products are ordered, ensuring the accuracy of invoices and product quantities.
  • Conduct periodic spot checks or counts of products to prevent theft and ensure timely restocking. By performing these checks in manageable batches, the tasks remain manageable and avoid accumulation.
